Providence Health & Services Department Assistant Clerical in Torrance, California


Providence is calling a Department Assistant Clerical (On Call/Variables) to Providence Little Company of Mary Torrance Hospital in Torrance, CA.

We are seeking a Department Assistant Clerical who will assist Physicians and staff in the daily operations of the radiology department. Be responsible for receiving all incoming patients, telephone communications, meeting and greeting patients, compiling and auditing records of examination. Maintains radiologist view area and patient PACS files. Assist in scheduling, clerical duties, and other related duties. Provides patient care to the following age groups: infants, pediatrics, adolescents, young, middle and older adults.

In this position you will:


  • Demonstrate understanding with respect to examination differences and submits films, reports, paperwork and prior studies appropriately when necessary

  • Prepare paperwork, questionnaires and charts for next day appointments

  • Answer phones promptly, courteously and by identifying department and self. Properly routes all incoming calls or takes messages effectively

  • Keep work area/office clean and stocked

  • Prepare CD images and subpoenas effectively and provides film release form and releases films to physician or patient according to policy

  • Collect work orders from all areas and sorts

  • Perform and assist in View room duties

  • Perform other related duties outside immediate work area as assigned or required (i.e., scheduling, technologists, etc.)


  • Enter orders, creating cases and assigning appointments

  • Understand procedures of Interventional Radiology and Cath Lab

  • Gather orders and appropriate paperwork along with authorizations

  • Assist with front office and file room duties as required


  • Assist Radiologists in contacting physicians and floors to assist reporting. Documents on logs

  • Provide patient, doctor and their staff with assistance and obtaining needed information. Communicates follow up for patient’s waiting for radiologist results

  • Write procedures on dry erase board in common areas. Communicate all add on outpatient STAT procedures

  • Prepare and prints exam images effectively and provides image release form and releases images to physician or patient according to policy

  • Record physician call log and maintains ER / Nighthawk discrepancy logs

  • Keep room, files, and work area neat, organized and secure. Assists with cleaning, stocking of copy supplies

  • Assist with front office, scheduling duties as required


  • Demonstrate working knowledge of hospital information system, computer-based systems

  • Demonstrate awareness of legal issues and compliance in respect to patient care. Maintains complete confidentiality of all patient and hospital related information. Secures and handles patient records maintaining patient confidentiality with respect to patient and family rights

  • Retrieve reports and is proficient in the use of copier, fax and printer


  • Lead by example in demonstrated work ethic

  • Attendance: Report to work each regularly scheduled workday Accurately record all work time including meal periods

  • Punctuality: Ready for work at precise starting time and continues working until scheduled departure time. Return on time from all meal periods

  • Appearance: Project a professional image, follows the hospital dress code policy and/or department requirements. Wear hospital name badge at all times on duty

  • General Work Habits: Readily accepts work assignments in a positive manner. Perform work that is accurate, neat and consistent

  • Have the documentation legible

  • Assist and provide orientation/training of new employees and students


  • Attend all assigned staff development activities including minimum attendance at all scheduled staff and hospital meetings

  • Participate in all in-services and cross training activities as necessary

  • Assume responsibility for own professional growth and practice


  • Be knowledgeable of hospital-wide of Performance/Process Improvement (P.I.) Methodology as a condition of employment

  • Offer suggestions and actively participates in departmental and/or hospital-wide Performance/Process Improvement


  • Plan and prioritizes time to achieve maximum efficiency when completing work duties and assignments

  • Always exercises financial prudence. Identifies opportunities for cost savings

  • Be responsible for knowledge and compliance with budget and staffing standards. Works overtime only with prior approval of supervisor


Required qualifications for this position include:

  • Education to meet certification, license or registration requirement.

  • 1 year medical reception or similar experience

Preferred qualifications for this position include:

  • Cardiopulmonary Resuscitation (CPR) Certification

  • Medical terminology
