Providence Emergency Preparedness / Safety Coordinator in Seward, Alaska

Description:

Providence is calling an Emergency Preparedness/Safety Coordinator (Emergency Preparedness, Variable, 1.0 FTE) to Providence Seward Medical Center in Seward, Alaska. In this position you will:

  • PROGRAM MANAGEMENT: Develop policies and procedures that facilitate compliance and program implementation. Undertakes needed research on current and proposed changes to Federal, State, and local laws and regulations affecting the assigned programs. Assists with Hazardous Material, Waste Management, and other safety program documents. Creates and monitors a waste reduction program within the medical center and office tenants. Reviews any inquiries or reports of non-compliance and addresses issues in a timely fashion with appropriate level of management. If an incident of noncompliance occurs, develops a corrective action plan and monitors its implementation. Sets up requirements and parameters for projects that all involved departments and facilities are able to comply with. Evaluates the program and training effectiveness by performing periodic interviews and environmental rounds of employees to assess their understanding of facility compliance policies: interviews and or surveys customers; reviews compliance reports; review program components and ensures alignment of program with applicable policies, procedures, and regulations. Collaborates with local Leadership to identify, develop, and implement program improvements that advance the goals and objectives of the program. Provides service in a calm, consistent, effective manner with an objective of customer service and satisfaction. Utilizes appropriate tools and techniques to facilitate teamwork and collaboration among stakeholders. Takes responsibility for problems encountered and follows through to conclusion. Uses professional judgment and takes action when working with other departments on special projects. Assumes role of Hospital Safety Officer when necessary.

  • Responsible for the development, coordination and implementation of Emergency Preparedness and associated educational programs in accordance with regulatory agencies, including CMS and Homeland Security. Coordinates local PSMCC involvement with Local, State and Federal Emergency Planning exercises as required. Coordinates and supervises emergency preparedness work activities involving external EMS and other facility work areas, in a manner that minimizes disruptions and inconveniences of the customer.

  • Represent PSMCC on the Providence Health and Services Alaska (PHSA) Hospital Preparedness Program coalition to include maintenance and authoring of the PSMCC Emergency Operations Plan and implementing all aspects of that plan in accordance with regulatory agencies, including CMS guidelines and Homeland Security.

  • Establish mechanisms to collect, review, and track data required by local, state, and federal entities which are consistent with PSMCC policies and procedures. Establishes efficiency protocols consistent with departmental operations. Responsible for ensuring appropriate documentation of programs to ensure compliance with OSHA, Joint Commission, EPA, DOT, and other applicable agencies or organizations. Develops, designs and creates an all-inclusive and comprehensive document that meets regulatory requirements set forth by Federal, State and municipal agencies. Collects data and produces, creates and prepares reports and delivers presentations. Creates and maintains the Safety Department intranet site and Contractor internet site. Works with a software programmer to create and upgrade databases and solve problems. Organizes and coordinates regulatory requirements of education related to job responsibilities and ensures maximum attendance. Ensures these activities are appropriately communicated and coordinated with key people in the organization, departments and external consultants.

  • Provide general oversight and participates in all disaster drills to include developing/updating of the PSMCC Emergency Operations plan (EOP).

  • COORDINATOR: Provide general oversight as directed by senior or departmental leadership to encourage a positive work environment. Provides guidance and support to staff and community members to ensure that they are able to perform their work effectively and efficiently. Oversees and assists with directing the activities of the department/program to ensure that continuous quality and cost effective services are provided. Demonstrates the ability to make decisions, delegate tasks and encourage staff/community members to use their talents to achieve the desired outcomes. Appropriately credits staff and community members for their effort and accomplishments.

  • COMMUNICATION: Demonstrate professional interpersonal and verbal skills when communicating with a wide variety of people from differing literacy levels, languages and cultures. Communicates effectively in a compassionate manner to patients, families, visitors and other staff members. Exhibits the necessary written skills for effective communication and documentation. Keeps departmental leadership well informed on a regular basis.

  • TEAMWORK: Exhibit the necessary skills to build effective teams by coaching, building trust, and training staff to work collaboratively and cohesively with other staff and/or team members in a variety of settings Encourages positive interaction and if necessary, directs staff to work directly with other team members when resolving issues. Monitors key processes to identify and define the team’s effectiveness. Supports new orientees in learning department routines.

  • CRITICAL THINKING AND ORGANIZATION: Demonstrate effective priority setting and organization skills to promote departmental workflow and cost efficiency. Anticipates potential obstacles and adjusts work assignments to prevent unnecessary delays. Recognizes errors/problems and takes corrective action when necessary. Utilizes available resources to recognize errors/problems and takes corrective action and assists with problem resolutions.

  • FINANCIAL RESOURCE/STEWARDSHIP: Work closely with the senior or departmental leadership to anticipate and adjust operating plans to meet facility goals. Assists with the coordination and collection of statistical data and other information to support and develop current and/or new services while ensuring cost effective processes and development plans are in place. May assist with overseeing service agreements and equipment purchases to support the departmental, facility and community needs.

  • QUALITY IMPROVEMENT: Development of and maintains quality control and quality assurance programs by developing indicators to measure, monitor, and report performance to other team members. Seeks input from various customer groups in order to develop and maintain quality. Reports any performance improvement suggestions to the department leader.

  • PURCHASING: Ensure an effective purchasing process is maintained by requisitioning necessary products and supplies for personnel, determining necessary quality/quantity requirements, selecting suppliers according to current contracting, arranging for deliveries, following up on orders, dispensing of equipment and other items when necessary. Develops and/or maintains department records keeping system, regarding par levels of department supplies. Submit invoices for approval and processing in a timely manner.

  • PERSONNEL: Demonstrate knowledge and support of quality improvement goals. Participates in department, facility and organizational projects or committees as assigned.

  • EDUCATION/PROFESSIONAL DEVELOPMENT: Assist with responsibility for obtaining information and expanding job knowledge and competency that reflects current practice. Role models personal development and education. Evaluates own practice in relation to professional practice standards and guidelines, relevant statutes, rules and regulations.

  • Implement care/services that recognize age/diversity specific needs/issues of customers served

  • Complete Competency Plan for assigned job and department.

  • Other Duties as assigned.

Qualifications:

Required qualifications for this position include:

  • Associate's Degree

  • Certification in Healthcare Safety Professional to include completion of Incident Command System (ICS) 100, 200, 700 and 800 within one year from the date of hire.

  • Four (4) years experience in healthcare related field to include Emergency Preparedness, Safety and/or regulatory compliance

  • Prior experience in program coordination
