Swedish Health Services Administrative Assistant III- Case Management in Seattle, Washington

Description:

Swedish Shared Services is looking for a Administrative Assistant III (1.0 FTE, Day Shift) to work in the Case Management for Metropolitan Park East located in Seattle, WA.

This position provides mostly a wide range of highly complex and moderate to high volume of administrative tasks in support of an executive director of a major organization. Responsibilities include the organization, prioritization and coordination of a moderate to high volume of work including confidential information.

In this position you will:

  • Customer Service – this function is the level and scope by which the incumbent manages customer contact – phones, e-mail, visitors and customer request, questions, and complaints. Customer may be internal Swedish or external (vendors, patients, consultants, public).

  • Answer multiple telephone lines; prioritize and screen calls

  • Manage visitor/customer flow – resolve conflicts and notify appropriate department employee of emergent and urgent issues and redirect customers as necessary.

  • Office Management – this function is the level and scope by which the incumbent manages workflow and notifies supervisor of urgent conflicts

  • Create, edit, and proofread variety of highly complex correspondence, memos, presentations and public relations materials to high level management, wide organizational distribution, or public distribution

  • Open date stamp, sort, prioritize incoming mail from mailroom, e-mail and fax; redirect mail; answer routine mail inquiries.

  • Project Management – This function is the level and scope by which the incumbent manages routine and emergent department/organization projects- organizes, prioritizes and coordinates workflow

  • Manage assigned departmental project workloads: make plan/recommendations for project requirements, resources, and deadlines

  • Complete individual project tasks assigned within designated timelines and due dates

  • Delegate tasks to other departmental clerical staff and/or collaborate with designated department/SMC specialists to meet department/project goals within designated deadlines

Qualifications:

Required qualifications for this position include:

  • Graduate of a Secretarial Program or college level coursework and equivalent work experience.

  • 3 years job related experience including responsible administrative work supporting a high level executive in a major organization.

Preferred qualifications for this position include:

  • Associate's Degree

  • Previous Health Care experience
