Swedish Health Services Administrative Assistant II - Perioperative Administration in Seattle, Washington
Swedish Medical Center is looking for an Administrative Assistant II ( 1.0 FTE, DAY SHIFT) to work in the Perioperative Administration at Swedish Shared Services located in Seattle, WA.
The Administrative Assistant II position provides a wide range of highly complex and moderate to high volume administrative tasks in support of at least one director of a major organization. Responsibilities include the organization, prioritization and coordination of a moderate to high volume of work including confidential information. Specific duties include exceptional customer service to customers and visitors; creating, typing, editing, and proofreading various department documents; creating and maintaining filing systems; scheduling meetings and arranging travel; entering, extracting, and analyzing data into reports and presentations; coordinating budget preparation; auditing or reconciling financial statements and invoices; and managing workload required to complete organization projects.
In this position you will:
Answer multiple telephone lines; prioritize and screen calls
Manage visitor/customer flow – resolve conflicts and notify appropriate department employee of emergent and urgent issues and redirect customers as necessary
Create, edit, and proofread variety of highly complex correspondence, memos, presentations and public relations materials to high level management, wide organizational distribution, or public distribution
Open date stamp, sort, prioritize incoming mail from mailroom, e-mail and fax; redirect mail; answer routine mail inquiries
Manage assigned departmental project workloads: make plan/recommendations for project requirements, resources, and deadlines
Required qualifications for this position include:
Graduate of a Business Office program or equivalent educ/experience
Three (3) years job related experience including responsible administrative work supporting management in a major organization
