St. Joseph Health / Covenant Health Senior Executive Assistant in Santa Rosa, California

We are looking for a Senior Executive Assistant with the Administration Area at Santa Rosa Memorial Hospital.

Location: Santa Rosa, CA

Schedule: Full Time - 80 biweekly hours

Shift: 8-hour Days

Job Summary:

Works at a high level of confidentiality and provides a broad range of administrative support to the Ministry chief executive and the Santa Rosa Memorial Hospital Board of Trustees. Exercises independent judgment and discretion, makes administrative decisions and acts based on the knowledge and scope of the position, organization and its policies and procedures and personnel. Performs work under minimal supervision.

Essential Functions:

  • Efficiently and pleasantly deals with unusual situations; maintains ability to exercise good judgement; demonstrates professionalism and continued personal growth.

  • Provides administrative and clerical support including handling telephone calls, coordinating conference calls, maintaining filing system, distributing mail, coordinating travel arrangement and ordering departmental supplies.

  • Maintains appointment calendar, coordinates meetings and prepares appropriate materials.

  • Serves as liaison with Providence St. Joseph Health System for administrative functions.

  • Coordinates events and projects for the Ministry chief executive officer.

  • Coordinates functions of the Board of Trustees, including scheduling, agenda preparation and distribution, minutes, nomination process, annual evaluation.

  • Provides excellent customer service, including positive interactions and interpersonal relations with co-workers and other customers.

  • Performs cost-containment activities.

  • Ability to work in a face paced environment

  • Ability to prioritize and organize projects effectively to ensure smooth flow of activity

  • Knowledge of organizational policies, procedures and systems

  • Experience working with high degree of confidential material

Position Requirements:

Education:

  • High school graduate or certified equivalent

Experience:

  • Five (5) years experience in an executive admin capacity

  • Experience in executive level office environment

  • College degree
