We are looking for a Hospitalist Coordinator with the SRMH Hospitalists at St. Joseph Heritage Healthcare.
Location: Santa Rosa, CA
Schedule: On Call / Per Diem
Shift: 8-hour Days
The SJHMG Regional Hospital based operations Coordinator provides administrative and clerical support for the Northern California region of Providence St. Joseph Health System Regional Float Pool, Hospitalist Department provider Program. This position is primarily responsible for the creation, maintenance, distribution and coordination of all Float Pool provider schedules. Directly managing 25 FTEs in the float pool and indirectly coordinating 100 FTEs throughout the 5 hospitals. Coordinates the completion of all of the relevant paperwork necessary for regional Float Pool provider credentialing; licensing and billing with 5 hospitals and 3 separate medical groups teams, using effective and clear communication over a broad geographic region. Observes confidentiality when completing assigned tasks
Creates, maintains, and distributes provider schedules for All SJHMG Float Pool Hospitalist providers based on approved staffing model. Maintains schedules in AMION scheduling software.
Calls and schedules physicians for replacement of leaves of absences, PTO, CME and other emergency openings for the Hospitalists.
Serves as point of contact to source and screen Float Pool physicians, availability and schedule. Coordinates selection process. Coordinates closely with individual hospital/group managers for 5 Hospitals and 3 Medical Groups to resolve scheduling conflicts and other scheduling issues. Works with PSJH locum tenens management group as needed.
Provides appropriate documentation to Medical Staff Services (MSS) needed to obtain DEA, state licensing, certificate of insurance, privilege renewals by obtaining and providing supporting documentation.
Work with Regional Provider Relations Coordinator as needed to ensure a smooth provider onboarding. Coordinate and track all components of provider onboarding including but not limited to:
Assisting as needed to obtain all necessary paperwork from the provider for Heritage Credentialing and introducing them to Hospital Credentialing for all 5 Northern California Hospitals
Be secondary contact to inform physicians of benefits enrollment, obtain new hire documentation and liability insurance coverage.
Coordinates & schedules orientation meetings for permanent providers.
Solicits evaluations with group input and submits to MSS and Regional Medical Director.
Continue onboard process for the initial 6 months of hire/orientation at all Regional Float Pool locations.
Completes review process for schedule (assignments, shifts worked, and travel expenses with invoices to ensure accurate billing. Assist in billing invoice disputes and verifications for Regional Float Pool providers.
Compiles reports as requested (e.g. statistics, tracking reports).
Maintains accurate SJHMG Regional Float Pool Hospitalist providers phone listing, distribute to all necessary departments.
Works with billing team to ensure billing is timely, correct and accurate.
Excel and word application knowledge
Medical terminology preferred.
Demonstrates excellent verbal and written communication skills.
Strong customer service orientation.
Strong computer and data entry skills.
- H.S. Diploma or GED
- Two (2) years Hospital or physician office experience
- Valid California driver’s license
