We are looking for an Associate Correspondence Clerk for Patient Finance-Area Department at Santa Rosa Memorial Hospital.
Location: Santa Rosa, CA
Work Schedule: Full time - 80 Biweekly hours
Shift: 8 hour, Days
Under general supervision, performs a variety of clerical duties related to the Customer Service and Collection Departments such as opening mail, stuffing envelopes, researching explanation of benefits, scanning and filing of electronic images and mailing claim forms. In addition the position has responsibility for monitoring late charge and rejection reports, and ensuring that corrections are made in a timely manner.
Open, sorts and date stamp all incoming mail. Prioritize mail and respond to inquiries and requests for information from payers and vendors, e.g., medical record requests, billing requests, etc. Distributes mail to the designated areas if unable to resolve, according to workflow instructions and to the departments’ policies and procedures, completes changes in demographic and insurance information. Assigns bad address flag for all returned mail, notes in the information system. Applies denial codes on denied accounts received in the mail from payers.
Scan all documents including: applications for financial assistance, patient correspondence, Subpoenas and any other document(s) requiring scanning. Sort scanned material from downloads and scans to appropriate document types or CHARTMAXX file structure. Resolve accounts residing in CHARTMAXX work list daily. Ensure that all legal documents (e.g. subpoenas, bankruptcies, etc.) are copied and all required accounts are sent to attorneys per the guidelines and law.
Works all incoming correspondence including insurance edits, address corrections, rebilling, medical record requests, patient refunds, and bankruptcy notices etc. referring only appropriate correspondence to other PFS staff.
Run and process late charge report daily, if the application of the late charge changes the expected reimbursement in ANY way, the appropriate insurance follow up representative is notified.
Review rejection batch processing and notify department(s) of corrections needed.
Balance surgery charge audit batches daily, maintaining a running log sheet.
Late charge processing – maintain logs for the late charge report. The late charge report will be submitted to the billing supervisor to be reviewed for patterns and problems.
Facilitate feedback to various departments regarding related issues detected during review of late charge and rejection reports.
Researches returned mail, obtains corrected addresses through various search options within the system and on-line search engines, direct patient contact via phone calls. Documents actions. Assigns bad address flag & assigns accounts to bad debt if unable to resolve.
Identify and pulls all documentation in response to audit requests from other departments, e.g., system notes, UB copies, EOB copies.
Mails, refund checks, patient letters and other documents requiring mailing.
Posts credit card payments.
Verifies patient insurances using the automated insurance verification tool and takes appropriate action.
Obtains and documents complete patient demographic, financial in Meditech.
Counts all unresolved correspondence and informs supervisor.
Completes changes in demographic and insurance as requested.
Ability to communicate charge related issues to management staff.
Knowledge of hospital patient accounting systems and procedures in the Patient Accounting area.
Basic understanding of ancillary systems that interface with Patient Accounts for submission of charges.
Ability to read, understand and follow verbal and/or written instructions.
Able to sort and file correctly by alphabetic or numeric systems, use 10-key touch pad, FAX machine and type.
Familiar with Internet Explorer and Microsoft Outlook, Microsoft Word and Microsoft Excel.
Able to provide exceptional customer service skills required. Able to cordially, professionally and effectively interact with patients, family members, physicians and other hospital personnel in a fast-paced environment.
Able to work independently, be self directed and work effectively with individuals that have a wide diversified background.
Basic understanding of medical terminology (diagnosis and procedure codes).
Basic knowledge of the billing process and account flow.
Understanding of reimbursement calculation process.
Understanding of the charge submission process.
Computer skills: Internet Explorer, Microsoft Outlook, Microsoft Word and Microsoft Excel.
