Providence Medical Staff Coordinator in Santa Monica, California

Providence is calling a Medical Staff Coordinator for Full-Time Day Shift to Providence Saint John's Health Center in Santa Monica, CA

We are seeking a Medical Staff Coordinator who will proactively initiate and coordinate medical staff activities. Provide and demonstrate ongoing expertise in Joint Commission, CMA, State, Federal and other regulatory requirements affecting the medical staff organization. Process initial applications, reappointments, verification of all pertinent and required information and follow-up. Assure peer review findings are available for review at the time of reappointment. Maintain the medical staff proctoring system in an accurate and timely manner. Initiate and maintain timely documentation of ongoing professional practice evaluation and focused professional practice evaluation (OPPE/FPPE) review. Coordinate CME program. Support the medical staff committees by preparing agendas, attending meetings, providing accurate and timely minutes, initiating and/or conducting appropriate follow-up actions. Assist and advise customers as necessary and appropriate regarding medical staff issues. Maintain a high level of integrity and confidentiality at all times.

In this position you will:

  • Assist medical staff leadership in scheduling, documenting, organizing and arranging medical staff activities in compliance to standards, rules and regulations

  • Credentialing:

  • Process initial applications for medical staff membership and allied health personnel in an accurate, thorough and timely manner. Prepare temporary privileges when appropriate

  • Process reappointments for medical staff members and allied health personnel in an accurate, thorough and timely manner. Ensure all peer review and other pertinent information is documented.

  • Process requests for additional clinical privileges ensuring evidence of current clinical competence is documented

  • Peer Review:

  • Track and report quality and peer review data for members of the medical staff and allied health personnel in an accurate and timely manner. Initiate, follow-up and provide accurate and timely documentation of peer review activities, including OPPE and FPPE. Accurate and timely maintenance and documentation of current peer review information in the credentials file, with committee minutes as applicable and medical staff software system for assigned committees

  • Ensure accurate and timely maintenance of the proctoring system for all medical staff members and allied health personnel. This includes notices of status and updates to provisional staff members being proctored, and to the medical staff team members as appropriate

  • Initiate processes and follow-up for Continuing Medical Education to ensure compliance with CMA/IMQ standards. Coordinate Continuing Medical Education meetings

  • Initiate and prepare medical staff committee meeting agendas, attend meetings, provide accurate and timely minutes, and initiate and/or conduct appropriate follow-up, assuring that the Chairs and Department Manager are kept informed of all important information

  • Maintain accurately all physician data, including, but not limited to current physician attendance in medical staff computer system for assigned committees

  • Coordinate proactively the Continuing Medical Education Program

  • Maintain confidentiality at all times and uses sound discretion in discussion regarding the contents of any and all information held in the Medical Staff Services Department

  • Provide and demonstrate ongoing expertise in Joint Commission, CMA, CMS, IMQ, HCFA, Title 22 standards as well as State, Federal, and other regulations affecting the medical staff organization

  • Perform timely and thorough computer database entry and report generation as pertinent

  • Demonstrate responsibility and accountability for own professional practice in regard to: positive public relation image and working relationships, obtaining necessary knowledge and skill needed to maintain competence, completing all mandatory requirements

  • Participate in the development and attainment of department and hospital goals including: attending and participating in department meetings, volunteering or accepting assignments for projects, supporting mission/vision/core values, and department ground rules

Qualifications:

Required qualifications for this position include:

  • 3 years Medical Staff or Administrative Services (may combine years in an accredited Medical Staff Services Science Program)

  • Strong computer skills

  • Strong organizational skills

  • Excellent written and verbal communication skills

  • Ability to successfully manage multiple priorities and complete with established deadlines

  • Excellent customer service and communication skills

  • Good judgment, tact and diplomacy

  • Thoroughness and accuracy

  • Ability to exercise knowledge-based decisions and to initiate projects in a timely fashion with little or no supervision

  • Ability to exercise knowledge-based support as primary contact in regard to credentialing, committee, peer review and Continuing Medical Education work

  • Computer literate: Database management and Microsoft Office Suite

  • High level of follow through on very detailed work

  • Excellent problem-solving skills

  • Attendance, punctuality, dependability, confidentiality, and customer-service oriented approach are mandatory

Preferred qualifications for this position include:

  • 2 years of college, preferably in medical staff or medical records science

  • National Association Medical Staff Services (NAMSS): CPMSM (Certified Professional Medical Services Management) or CPCS (Certified Provider Credentialing Specialist) certification
