Providence is calling a Women's Services Program Coordinator - Mother Baby Clinic (1.0 FTE, Days) to Providence Portland Medical Center and Providence St. Vincent Medical Center in Portland , OR

The Providence Mother and Baby Clinics are seeking a Women's Services Program Coordinator. The individual in this role will be responsible for coordinating the administrative functions of a new vendor relations program that provides client/patient support services within the Women's Program and Mother Baby Clinic. This role supports program directors, managers, supervisors, physicians, midwives, contracted vendors as well as clients/patients. Specific responsibilities include but are not limited to developing and maintaining contacted vendor relationships, compliance with all standards and requirements of Providence billing, contracting, and recordkeeping policies and procedures, and outstanding client/ patient relations and customer service.
In this position you will have the following responsibilities:
Work closely with Program and Clinic leadership to operationalize programs and work across the organization to improve service for OB patients and caregivers
Oversee and maintain independent contractor relationships ensuring compliance with hospital and departmental policies and procedures
Maintain required documentation related to independent contractor compliance
Support selection process and onboarding of contractors and employees; contributes to annual evaluations with the leadership team
Collaborate in the design, organization and management of systems, workflows, policies and procedures, and documentation to support the business and operational needs
Support client and patient intake and registration processes
Oversee and audit payment to vendors and maintain relationship with Accounts Payable
Process client payments and refunds as needed
Oversee administrative activities, special projects and events
Assist leadership in duties, ensures timely dissemination of information and documentation, which is necessary for the efficient operation of the program
Collect, interpret, analyze and create reports using statistical data received from internal and external data sources and implement process improvement plans to address areas of deficiency
Collect and maintain essential program documentation, such as evaluations, meeting minutes, policies and procedures, and reports
Oversee Program marketing, promotional activities, special projects and events
Assist in design and distribution of Program publications, including newsletters, brochures and website
Maintain updating of department website, as well as administer client on-line registration system
Ensure adherence to budget constraints as related to subsidized clients
Foster a culture of outstanding patient care
Qualifications:
Required qualifications for this position includes:
Bachelor's Degree or equivalent combination of education and experience
Three (3) years of Customer Service experience
Two (2) years of Administrative experience in healthcare setting, preferably Women's Health
Preferred qualifications for this position includes:
One (1) year of experience in Program Coordination and/or Operations Leadership
One (1) year of Financial or accounts payable experience
