St. Joseph Health / Covenant Health PBX Operator - Admitting in Petaluma, California

We are looking for a PBX Operator for the Admitting Department at NorCal HealthConnect.

Location: Petaluma, CA

Work Schedule: Full Time - 80 Biweekly Hours

Shift: 8-hour, Evenings

Job Summary:

Under minimal supervision, the PBX Operator maintains a high volume voice communications center with primary duties including operation of Hospital telephone console, answering and routing calls with speed and accuracy, operation of overhead paging system, Net Page and initiating codes, and functioning as radio liaison with Security and Engineering staff. Secondary duties include maintaining audit process of all hospital outpatient accounts. Will also perform admission activities as required.

Essential Functions:

  • Performs excellent customer service according to hospital and departmental standards. Customers include patients and families, hospital staff and physicians, all callers from inside and outside the hospital.

  • Answers and routes calls to patients, hospital staff and satellite facilities according to department guidelines for speed and accuracy.

  • Provides immediate and accurate code response to alarms and code phone. Performs overhead paging according to hospital policy.

  • Maintains efficient communication with Security and Engineering (either radio or telephone). Performs electronic paging according to department guidelines.

  • Provides information to incoming callers with strict adherence to hospital confidentiality guidelines thus protecting patient’s rights.

  • Monitors Telephone and other PBX equipment and alarm system to ensure equipment stays in good working order.

  • Pager duties to include: Issuing, swapping, assigning, and trouble shooting. The PBX Operators are the designated staff and location for Hospital pagers.

  • Determines missing COA and IM Message from Medicare signatures. Collects signatures, scans into ChartMaxx and documents Meditech according to guidelines.

  • Maintains telephone lists, communication book, informational logs and training/resource books.

  • Uses written and verbal communication skills effectively and timely to inform staff of new issues.

  • Acts as a resource for other operators when needed.

  • Demonstrates appropriate knowledge of Admitting and billing procedures to register, audit, correct and maintain insurance & demographic information on outpatient bills.

  • Audits outpatient accounts for accuracy, including insurance and demographic information and MSP screening information and makes necessary corrections in Meditech


  • Excellent verbal communication skills.

  • Knowledge of keyboard and typical Medical software.

  • Ability to work independently under conditions of stress.

  • Ability to maintain collaborative relationships with patient team members, internal departments and external resources

Minimum Position Requirements:

Education: H.S. Diploma or GED

Experience: 1 year PBX/Telephone Operator or customer service.

Preferred Position Qualifications:

Education: Coursework/Training - Medical Terminology training.

Experience: Hospital or Medical office experience.
