St. Joseph Health / Covenant Health Health Information Management Supervisor – Authorizations and Medical Records in Mission Viejo, California

We are looking for a Health Information Management Supervisor for the Authorization Department at Heritage Healthcare.

Location Mission Viejo, CA

Work Schedule: Full time - 80 Biweekly Hours

Shift: 8-hour, Days

Job Summary:

Under the direction of the Manager, Authorizations and HIM, the Supervisor of Authorizations and HIM responsibilities include, but are not limited to serving as a representative for the medical group in working harmoniously with the HMO's / PPO's, patients, and other healthcare providers. In addition, this position is responsible for the recruitment, hiring, training, and staff development. Supervises daily operation of the Health Information Management record processing departments. Ensures the quality of the patient's medical record is accurate and properly entered into the electronic health record system. Oversees document imaging/scanning, document indexing and quality assurance of the electronic record while maintaining patient privacy and security. Provides a high level of customer service in coordinating patient information through all caregivers, clinical departments, and billing departments according to the organization's policy and procedure.

Essential Functions:

  • Coordinate and participates in the review process and audit process with each health plan.

  • Update and maintain Authorizations and HIM procedures to reflect changes.

  • Participates in committee meetings, as necessary.

  • Maintains accurate files on each product and reports to health plans as required.

  • Develops corrective action plans and follow ups as necessary for out of compliance related issues.

  • Develops necessary tools and/or procedural forms as necessary.

  • Maintains a professional relationship with providers, specialists, and health plan personnel.

  • Assures departmental compliance with Providence St. Joseph Health policy and procedures.

  • Recruit, select, train, discipline, and develop staff competency.

  • Develop goals and objectives for both the department and individual employee. Devise methods for employees, individually and as a department, to obtain goals. Facilitates effective communication with department staff relative to St. Joseph Heritage Healthcare objectives and values.

  • Conducts staff meetings, assuring policy and procedures are adhered to and when necessary, modified to address changing strategic objectives.

  • Identifies problems within the department, analyzes and resolves with appropriate action.

Skills:

  • Knowledge of the referral process.

  • Knowledge of Microsoft applications: Word, Excel, and an email system required.

  • Bilingual English/Spanish communication skills preferred.

  • Excellent verbal, written, and presentation communication skills.

  • Must possess active listening skills in order to handle all customer interactions tactfully, courteously, and professionally

  • Ability to handle high call volume or emotionally charged encounters by approaching each customer interaction with professionalism, compassion, and empathy.

  • Ability to maintain compliance with HIPAA regulations.

  • Able to recognize diversity of staff and customers and displays acceptance for individual’s differences, beliefs, and values with compassion and understanding.

  • Ability to manage time appropriately to maximize availability to assist customers.

  • Possess patience and demonstrates respect for callers, both external and internal, treat others with dignity and respect.

  • Support and promote intra and inter departmental teamwork and demonstrate a spirit of cooperation.

  • Must be able to work in a fast paced department and handle multiple tasks, work with interruptions, and deal effectively with confidential information.

  • Effective employee management skills.

  • Ability to travel within Providence St. Joseph Health locations.

Minimum Position Requirements:

Education: H.S. Diploma or GED

Experience:

  • 1 year Supervisor experience

  • Authorizations processes and guidelines experience with various medical insurances.

  • Experience with Microsoft applications: Word, Excel, and an email system.

  • CPT and ICD-10 coding experience.

Licenses/Certifications:

  • Valid California Driver’s license.

  • Automobile insurance for employee-owned vehicles.

Preferred Position Qualifications:

Education: Bachelor's Degree in Health Management, Business Administration or a related field.

Experience:

  • 2 years Supervisor experience.

  • 3 years Authorizations experience

Licenses/Certifications: Registered Health Information Technician (RHIT).
