Job Summary:

The Hospital based operations Coordinator position provides administrative and clerical support to St. Joseph Health Eureka and Redwood Medical Centers Hospitalist and Emergency Department provider Programs. This position is primarily responsible for the creation, maintenance, distribution and coordination of all St. Josephs Health Medical Group (SJHMG) provider schedules. Securing locum tenens, as needed for the ED and the Hospitalist needs. Responsible for the coordination and completion of all relevant paperwork necessary for providers credentialing, licensing and billing on a continual basis

MinimumPosition Qualifications:

  • Education:High School Graduate, AA degree preferred

  • Experience:At least 2 years office experience

  • ValidCalifornia driver’s license

Job Specific Knowledge, Skills andAbilities:

  • Creates, maintains, anddistributes provider schedules for Hospitalist and Emergency Department (ED)providers based on approved staffing model. Maintains schedules in AMIONscheduling software.

  • Calls and schedulesphysicians for replacement of leaves of absences, PTO, CME and other emergencyopenings for the Hospitalist and ED providers programs.

  • Serves as point ofcontact with locum agencies to source and screen locum tenens physicians,availability and schedule. Coordinates selection process. Coordinates closelywith locum agency to resolve scheduling conflicts and other scheduling issues.Works with PSJH locum tenens management group.

  • Provides appropriatedocumentation to Medical Staff Services (MSS) needed to obtain DEA, statelicensing, certificate of insurance, privileges renewals by obtaining andproviding supporting documentation.

  • Coordinates & schedulesorientation meetings for permanent and locum tenens providers.

  • Reviews SJHMG locumtimesheets for accuracy, sending approved timesheets to appropriate agencies ina timely manner. Prepares agency’s Locum evaluations with group input andsubmits to MSS and agency.

  • Completes review process(assignment detail letter, shifts actually worked, and travel expenses withinvoices to ensure accurate billing for locum tenens. Assist in locum billinginvoice disputes and verifications.

  • Compiles reports asrequested (e.g. statistics, tracking reports) inc. daily census reports.

  • Maintainsaccurate SJHMG Hospitalist and ED providers phone listing, distribute toall necessary departments.

  • Works with billing teamto ensure billing is timely, correct and accurate.
