We are seeking a Donor Relations/Events Coordinator who will provide direct administrative support to Providence Saint Joseph Foundation’s Philanthropic Gift Advisors. This person will be detail-oriented in upholding open lines of communication with donors, prospects and grateful patients, and handle all facets of gift processing while maintaining a donor database containing essential information and key foundation contacts. Under the direction of the Senior Philanthropic Gift Advisor and Philanthropic Gift Advisor, the DR/EC will also be responsible for the planning, coordination and implementation of board and committee meetings and special events. This position will interact with a wide variety of internal and external constituents and will require a high degree of professionalism along with strong communication and interpersonal skills and a customer service-oriented mindset.

In this position you will:

  • Demonstrate Providence Health System’s core values of Compassion, Dignity, Justice, Excellence and Integrity to donors, volunteers, employees, and visitors; and provides quality service in the performance of work assignments and duties.

  • Maintain established department/hospital policies, procedures, and objectives.

  • Coordinate all donor research from patient records in EPIC to donor prospects in RE.

  • Coordinate all committee meetings including agendas, minutes, meeting reminders and follow up with board members and nominees.

  • Exercise discretion, diplomacy, and independent judgment when dealing with internal and external clients and confidential information for the Foundation.

  • Perform basic administrative functions (i.e. answers telephones and takes messages, maintains accurate record keeping, appointment calendars, manages multiple schedules, coordinates meetings, makes travel arrangements, handles incoming mail, expense reports, distributes correspondence and other materials to appropriate staff, etc.).

  • Handle gift processing activities such as deposits, donor acknowledgment letters, pledge reminders, receipts, etc. in a timely fashion.

  • Generate and merge lists from CRM system and other software to support personalized donor-related acknowledgment letters.

  • Respond promptly to patient/donor inquiries and/or refers to appropriate department for resolution.

  • Prepare, compose and edit letters, proposals, statement of intents and general foundation correspondence under the supervision of the Senior Philanthropic Gift Advisor and Philanthropic Gift Advisor.

  • Coordinate and oversee all aspects of the gift-in-kind program by liaising with internal and external stakeholders, developing acknowledgment letters, and producing and maintaining accurate reporting.

  • Track, enter, and update donor information and runs reports for Philanthropic Gift Advisors within CRM system such as contact reports, demographics, communication, moves management steps, event registration, etc.

  • Schedule, coordinate and when appropriate, attends internal and external stakeholder meetings and takes notes/minutes. Duties including managing meeting logistics, the development of pre-meeting materials including agendas, PowerPoint presentations, hand-outs and briefings, and accurate note taking.

  • With the support of, and/or under the direction of the manager, plans, coordinates and executes special events including webinars, virtual meetings, town halls within prescribed budgets. Responsibilities include support in developing scope of work, soliciting bids, creating planning and event timelines, development of communication pieces, briefings, cash gift and sponsorship solicitations, gift-in-kind solicitations, volunteer management, acknowledgments, recognition, and timely report filing. When needed, the DR/EC will act as a liaison to internal and external groups that organize fundraisers on behalf of Providence Saint Joseph Foundation.

  • Coordinate the production of all event-related materials, including electronic and paper save-the-dates, invitations, programs, ad journals, signage, host gifts, attendee gift bags, thank you notes, etc.

  • With the support of, and/or under the direction of the manager, manages event contracts, billing and budgets and maintain accurate and clear records, files and correspondence for each event.

  • Hire and oversees event photography and the printing of photos, etc.

  • Keep professional growth and development as a priority.

  • Attend meetings and in-service trainings as required.

  • Ability and willingness to work occasional nights and weekends.

  • Perform other duties as assigned or requested.

Qualifications:

Required qualifications for this position include:

  • Bachelor's Degree or Four (4) years of working in a fast paced environment.

  • Five (5) years successful administrative track record.

  • Demonstrated experience working within time-intensive, results-oriented environment preferably a hospital, academic or nonprofit research organization.

  • The candidate must also possess leadership capabilities to develop staff and volunteers, possess outstanding analytical and evaluative skills, and exhibit excellent communication, interpersonal, organizational, and administrative skills.

  • Strong interpersonal and communication (written and verbal) skills.

  • Advanced working knowledge of all Microsoft Office products, as well as, a working knowledge of fundraising software.

Preferred qualifications for this position include:

  • Campaign experience.
